Executive Management Assistant to the COO

Your job

As Executive Management Assistant, you provide excellent administrative support for our COO & Managing Director and are managing the information flow between the different stakeholders. You are a natural-born organizer and excel at balancing time-sensitive requests and competing priorities.

Your tasks

  • You are coordinating and scheduling external as well as internal meetings/events and are strategically balancing executives’ priorities.
  • You are supporting the communication in executive meetings with the agenda, follow-up, and status reporting – and are handling confidential information with due care.
  • You are collaborating closely with internal & external stakeholders and manage the information flow to always provide full context for meetings.
  • You are responsible for the calendar management of our COO & Managing Director and act as a gatekeeper when screening mails and phone calls.
  • You are managing the travel-related activities of the COO & Managing Director and are submitting expenses in a timely manner.

Your profile

  • You have 3+ years of experience as a team or executive assistant – ideally in a fast-paced and growing environment.
  • You are a proactive and resilient person whose strength lies in forming relationships with diverse stakeholders. 
  • You impress with excellent organizational skills and prioritization capabilities.
  • You are flexible and able to solve ad-hoc problems in a timely manner and across time zones.
  • You are a structured thinker with excellent written and oral communication skills – in German and English.

For legal reasons, we refer to the collective agreement minimum salary of EUR 2,635 (14 x per year) for this position. The actual salary depends on your qualification and experience, a willingness to overpay is given.
